Gemini AI Now in Docs, Sheets, Slides & Drive: New Features & Updates
Google is expanding the capabilities of its Gemini AI model within its Workspace applications – Docs, Sheets, Slides, and Drive – offering users new tools for content creation, data organization, and information retrieval. These updates, available to subscribers of Google AI Ultra and Pro, aim to streamline workflows and enhance productivity by integrating AI assistance directly into familiar operate environments. The rollout is currently in beta, beginning in English for Docs, Sheets, and Slides, and limited to the US for Drive.
The core of these enhancements lies in Gemini’s ability to draw context from a user’s existing files, emails, and web searches. This feature, designed with data security in mind, allows the AI to connect relevant information and provide more informed assistance without compromising user privacy. As Yulie Kwon Kim, VP of Product at Google Workspace, explained in a recent blog post, the goal is to help users “gain things done, faster” by leveraging the power of AI to overcome common hurdles like the blank page or empty spreadsheet.
Drafting and Refining Documents with Gemini in Docs
For writers, Gemini in Docs functions as a collaborative partner, assisting with both the initial drafting and subsequent refinement of documents. Users can now prompt Gemini directly from the side panel or a new bottom bar, instructing it to create a first draft based on specific instructions and relevant contextual information. For example, a user could ask Gemini to draft a project proposal, drawing on data from recent meeting minutes and an existing event list.
Beyond initial drafting, Gemini offers powerful editing features. Users can highlight sections of text and request specific changes, or ask for broader revisions to tone, and style. Two new tools, “Match writing style” and “Match doc format,” address the challenge of maintaining consistency in longer documents. “Match writing style” standardizes the voice throughout a document, ensuring a cohesive reading experience. “Match doc format” aligns a document’s style to a pre-existing template – Google cites the example of automatically populating a travel itinerary template with details extracted from a user’s flight, hotel, and car rental confirmation emails.
Automating Spreadsheets with Gemini in Sheets
Gemini’s integration with Sheets focuses on automation, enabling users to create, organize, and edit spreadsheets using natural language prompts. Users can describe a project in plain language, and Gemini will generate a multi-part spreadsheet complete with lists and trackers. The AI can also incorporate relevant details from selected emails and files, further streamlining the process.
For existing spreadsheets, Gemini can add elements like tables and dashboards, expanding upon existing work rather than requiring a complete overhaul. The “Fill with Gemini” feature is particularly noteworthy, allowing users to generate custom text, categorize data, and summarize information within a table. Importantly, this feature can also access real-time information from Google Search, as demonstrated in a scenario where a student uses it to populate a college application tracker with due dates and tuition information. Google’s resource page on Gemini at Work details several use cases for Gemini in Sheets, including project management and data analysis.
Design Collaboration in Slides
Gemini in Slides acts as a design collaborator, generating new slides that complement an existing deck’s theme and leveraging context from selected files, emails, and the web. The tool handles much of the design and formatting work, allowing users to focus on the narrative content. Users can also request specific changes through prompts, such as adjusting colors or simplifying designs, facilitating collaborative iteration.
Google has previewed a future feature that will allow users to generate an entire presentation from a single prompt. The example given – creating a five-slide presentation for a trip, automatically incorporating relevant details – highlights the potential for significant time savings.
Enhanced Search and Insights in Drive
The updates to Google Drive focus on improving search functionality and providing more insightful results. Gemini now provides an “AI Overview” at the top of search results when users query Drive using natural language. This overview summarizes relevant information from a user’s files and includes citations linking back to the original documents, allowing users to find answers without opening multiple files.
The “Ask Gemini in Drive” feature takes this a step further, supporting more complex queries across documents, emails, calendar events, and the web. Google illustrates this with the example of a user selecting tax-related files and asking Gemini for a list of questions to raise with a tax advisor, with the response grounded in the user’s specific documents. Google Workspace Help documentation details how Gemini integrates into the side panel of Drive, alongside other Workspace apps.
It’s critical to note that the Drive features are currently limited to users in the US, while the Docs, Sheets, and Slides updates are rolling out globally in English. Google plans to refine the experience during the beta period and expand language support over time.
These updates represent a significant step in Google’s integration of AI into its Workspace suite. While the features are currently limited to Google AI Ultra and Pro subscribers, they offer a glimpse into a future where AI-powered assistance is seamlessly integrated into everyday work tasks. The success of these features will likely depend on Google’s ability to balance powerful AI capabilities with user privacy and data security, as well as its commitment to expanding language support and refining the user experience based on feedback from the beta program.
